Privacy notice

DEDICO Ltd. keeps data handling simple. We collect only what we need to answer your enquiry or deliver the work you've asked for, we don't use your data for marketing, and we don't sell or share it with anyone for their own purposes. This notice explains the detail, as required under the General Data Protection Regulation (GDPR) and the Data Protection Act 2018.

What we collect and why

Enquiries. If you email us or book a call, we receive your name, email address, and whatever you choose to tell us. We use this to reply to you and, if we go on to work together, to set up the engagement. The legal basis is our legitimate interest in responding to enquiries and, where you're considering becoming a client, taking steps at your request before entering a contract.

Intro calls. 15-minute intro calls are booked through Microsoft Bookings. When you book, Microsoft collects the details you enter (name, email address, and any notes) and shares them with us so the call can happen. Microsoft's own privacy statement also applies to that service.

Coaching session bookings. If you book coaching sessions with me, we store your name, email address, remaining session credits, and the times of sessions you book, move, or cancel. We use this to offer you available times, and once all sessions in the package are booked, to create Microsoft Teams meetings and send you the calendar invitations. The legal basis is performance of our contract with you. The booking page is not listed in the site navigation.

Client work. If you become a client, we process the information needed to deliver the service. For coaching clients this can include your CV, application forms, and career examples, which you provide directly. For organisational clients it can include documents and records shared for the engagement. The legal basis is the performance of our contract with you. Anything sensitive you choose to share in a coaching session is used only to prepare you, and for nothing else.

Invoicing and records. We keep client names, contact details, and billing records because Irish tax law requires us to. The legal basis is compliance with a legal obligation.

We do not use your data for marketing. We don't run mailing lists, and we won't add you to one.

Who has access to your data

Your data is not sold, and it is not shared with third parties for their own purposes. Like most businesses, we use a small number of service providers to operate: Microsoft 365 for email, calendar, Teams meetings, and file storage; Revolut for taking payment; Neon for storing booking records; and Vercel for hosting the website and the booking functions. These providers process data on our behalf under their own GDPR commitments, including appropriate safeguards where data is processed outside the European Economic Area.

We will disclose personal data if the law requires it, and only then.

How long we keep it

Enquiry emails are kept only as long as needed to deal with your enquiry. Client files are kept for the duration of the engagement and a reasonable period afterwards in case you come back to us. Invoices and billing records are kept for six years, as Irish tax law requires. After that, data is deleted.

Cookies

This website does not use analytics or tracking cookies, and does not profile visitors. Our hosting provider may keep standard server logs (such as IP addresses) for security purposes.

Your rights

Under GDPR you have the right to access the personal data we hold about you, to have it corrected or deleted, to restrict or object to how it's used, and to receive a copy in a portable format. To exercise any of these, email sarah@dedico.ie and we'll respond within a month.

If you're unhappy with how we've handled your data, you have the right to complain to the Data Protection Commission at www.dataprotection.ie. We'd appreciate the chance to sort it out directly first.

Changes to this notice

If our data practices change, this page will be updated and the date below revised.
